Best used when
Acting on a report
- Homebuyers who have received a pre-possession inspection report
- Owners coordinating rectification with a builder or contractor
- Society or project representatives following a defined issue list
Four simple steps
Move from report to closure without losing the original record
1. Read the coverage
Confirm the property, date, included areas and anything inaccessible or untested before focusing on the issue count.
2. Send clear items
Use the original reference, room, observation and relevant evidence so the builder can find and answer the same issue.
3. Track the response
Record what the builder says, who will act and the claimed completion date without deleting the original observation.
4. Verify selected repairs
Check important work directly when it is accessible and the required water, power, weather or operating condition is present.
Copy and adapt
A clear message to send with the report
Replace the brackets and attach only the relevant report or item list for the recipient.
Hello [name], Please find the inspection observations for [project / unit], recorded on [date]. Kindly review the attached items and reply against each original reference with: 1. accepted action or clarification, 2. responsible person, and 3. expected completion date. Please keep the original item numbers in your response so completed work can be checked against the same locations and observations. Thank you, [name]
Plain-language status
Track each item from open to checked
Open
- No clear action or completion evidence has been recorded.
- Keep the original item visible and ask for the next response.
Said to be complete
- The builder or contractor reports that work is finished.
- Confirm that the location is accessible and ready to check.
Checked
- The selected item was reviewed under suitable conditions.
- Record the date, result and any open question.
Before closing an item
Ask five final questions
Am I checking the exact original location and issue?
Is the repaired work visible and accessible?
Is the necessary water, power, weather or operating condition present?
Does another finish or fitting hide the relevant work?
Have I saved the later evidence without changing the original observation?
Know where to stop
Clear evidence for practical next steps
The report supports rectification with an agreed scope, location-linked evidence and a clear status for each item. Contractual, statutory and specialist decisions are handled by the appropriate qualified party.
- Structural, electrical, fire, health and legal questions are directed to the appropriate qualified party.
- Direct review, operation or matching conditions can provide stronger verification than a repairer photograph alone.
- Optional repair coordination remains separate from the inspection; you may use the builder or any contractor.

Common questions
Answers for this decision
Should I edit the original report after the builder responds?
No. Keep the issued copy unchanged. Add the response, claimed completion and later evidence beside the original item or in a clearly dated follow-up record.
What if the builder disagrees with an item?
Return to the exact location, observation, evidence and any applicable agreed reference. Record the response rather than deleting the original, and refer contractual or specialist questions appropriately.
Is a photograph of repaired work enough?
A photograph can show progress. The item status should also reflect whether direct operation, matching conditions or specialist evidence is needed for a clear result.
Must I use BuildInspect or its repair contacts?
No. Findings remain independent of repair work. You may use the builder or any contractor. A requested third-party referral has its own disclosed scope and quote.
